The University Council Secretariat is entrusted with overseeing all preparatory and procedural tasks leading up to the University Council’s monthly meetings. Dr. Mohammed I. Al-Dagheiri, Vice-President for Graduate Studies and Scientific Research, serves as the Council’s Secretary.
The University Council convenes monthly under the chairmanship of the Minister of Education. Attendees include the Secretary-General of the Council of Universities' Affairs, SU President (as Vice-President of the Council), Council's Secretary, other SU vice-presidents, college deans, and deans of support deanships.
Core Responsibilities of the Secretariat:
- Receives and reviews topics proposed for University Council discussion, ensuring each is complete and compliant with SU regulations, before forwarding to designated staff for memorandum preparation.
- Drafts and finalizes memoranda for University Council presentation, verifying completeness and conformity with established standards. These are then submitted for approval, and the meeting agenda is developed based on the verified documents.
- Drafts and finalizes minutes of each meeting, obtaining necessary signatures to ensure formal record-keeping.
- Prepares formal communications regarding University Council decisions, securing authorized signatures.
- Conveys and distributes University Council directives to relevant departments for implementation.
- Compiles periodic reports on University Council decisions, tracking both implemented and pending actions and noting any impediments. These reports are submitted to the authorized official for guidance.
- Monitors attendance of Council members, preparing reports to facilitate the disbursement of meeting allowances.
- Circulates finalized Council minutes to the offices of SU President, vice-presidents, deans, and the legal department.
- Maintains a comprehensive index of the University Council decisions, archiving meeting minutes and associated memoranda in dedicated files for ease of access.
- Prepares external correspondence addressed to ministers or their equivalents, submitting these documents to SU President or authorized delegate for signature.
